Job Purpose

This role will attend the front desk and as the “face” of the organisation, s/he will be responsible to greet and welcome guests/ visitors, receive mails, official parcels, documents etc., along with handling administrative issues, providing logistical support and undertaking secretarial duties at the front desk.

Key Responsibilities

• Greet and welcome guests as soon as they arrive at the office • Direct visitors to the appropriate official at office • Answer all incoming calls, official emails; keep messages and redirect them to relevant official/s at earliest, assessing the priority • Provide basic and accurate information at all times, in person and through phone/email/ virtually • Receive/Distribute all kinds of incoming letters/goods/parcel/bills etc. & keep record. • Monitor office supplies and place orders when necessary • Ensure the lobby is neat, presentable, and equipped with all essential supplies • Coordinate with internal departments to facilitate smooth communication and resolve any visitor or staff query promptly • Order meals/snacks as requested for meetings and ensure delivery in time, as requested • Manage petty cash for petty payments and its adjustment • Manage and re-fill of First Aid boxes • Follow up incoming and outgoing guest entry-exit electronic register • Take care of land phone service and update the PABX extension list • Ensure hotel reservation for field visit as per demand • Ensure the payment of all utility bills (internet, water, electricity, gas, cleaners etc) • Receive vendor bills and assist to attach required document for payment • Perform any other relevant responsibilities, as assigned by line manager

Requisite qualifications, experience, and attributes

Education: Bachelor’s degree from any UGC approved university in Bangladesh. Experience: Minimum of 2 years experience in the similar role; preferably in an international organisation and/or large corporation is required. Skills and Competencies: • Familiar with office appliances (printers, fax, PABX etc.) • Excellent knowledge of MS Office (Excel and Word) • Well versed in Bangla and English (oral and written) • Strong communication and people skills • High level of pro-activeness, positive attitude and ability to work independently with minimal supervision

Salary & Benefits

Monthly gross salary BDT 43,583/-. In addition, festival bonus, provident fund, gratuity, life insurance for self, health insurance for self, spouse and children, cell phone allowances etc. are applicable as per policy provision.
